Important: Career Pilot India operates a payment-after-visa model. In most cases, our service fee is charged only after your visa is approved. Please read this policy carefully to understand the specific circumstances under which refunds are and are not applicable.
1. Our Payment Model
Career Pilot India operates on a payment-after-visa principle for all standard placements. This means:
- No service fee is charged before your visa is approved
- You pay CPI's service fee only after your work visa has been granted and your travel date is confirmed
- Government fees, medical fees, attestation and travel costs are separate and are not part of the CPI service fee
Because our fee is typically charged after visa approval and shortly before travel, refund situations are rare but defined below for complete transparency.
2. Circumstances Where No Refund Is Applicable
No refund of the CPI service fee shall be made in the following circumstances:
- Candidate changes mind after visa approval. If the candidate decides not to travel after the visa has been approved and the service fee has been paid, no refund is applicable. The placement process has been completed successfully by CPI.
- Visa refusal due to candidate's fault. If the visa application is refused because the candidate provided false, inaccurate or incomplete information; failed to disclose a criminal record; failed to attend a required appointment; or did not meet medical fitness requirements.
- Employer offer declined after acceptance. If the candidate accepts a job offer from the employer, CPI proceeds with documentation and visa, and the candidate later rejects the offer without valid reason.
- Failure to submit documents. If the placement process stalls or fails because the candidate did not submit required documents despite reminders from CPI.
- Misconduct. If CPI terminates the engagement due to candidate misconduct, abuse of staff or fraudulent behaviour.
- Force majeure. If the placement is disrupted by war, natural disaster, pandemic, embassy closure, sudden change in immigration law or any event beyond CPI's reasonable control.
3. Circumstances Where a Refund May Be Applicable
CPI will consider a full or partial refund of the service fee (to be assessed on a case-by-case basis) in the following circumstances:
- Employer withdraws the offer after visa approval without cause. If the employer cancels the confirmed job offer after the visa has been approved and the candidate has paid the service fee, CPI will process a refund of the service fee within 30 working days, provided the candidate has not yet travelled.
- CPI is unable to find a suitable role. If CPI accepts a candidate's registration and is unable to match the candidate to any suitable verified role within a reasonable period (typically 6 months), and no interview has been arranged, a refund of any advance fee paid will be considered.
- Duplicate payment. If a candidate makes a payment in error (e.g., double payment), the excess amount will be refunded in full within 10 working days.
Refunds are assessed by CPI's management team. The decision of CPI's management is final, subject to applicable Indian law.
4. Refund Process
To apply for a refund, candidates must:
- Submit a written refund request to info@careerpilotindia.com within 14 days of the triggering event
- Include their full name, registered mobile number, CPI candidate reference number and a clear explanation of the reason for the refund request
- Provide supporting documentation where applicable (e.g., visa refusal letter, employer withdrawal communication)
CPI will acknowledge the request within 3 working days and provide a decision within 21 working days. Approved refunds will be credited to the original payment method (bank account or UPI) within 10 working days of approval.
5. Third-party Costs — No Refund
The following costs are not part of the CPI service fee and are strictly non-refundable in all circumstances:
- Government visa application fees (embassy / high commission fees)
- Medical examination fees and health clearance costs
- Police clearance certificate fees
- Document attestation, notarisation and apostille charges
- Air ticket and travel costs
- Accommodation deposits paid directly by the candidate abroad
These fees are paid directly to third-party authorities and are beyond CPI's control and responsibility.
6. Disputes
If a candidate is dissatisfied with a refund decision, they may escalate the matter by writing to CPI's senior management at info@careerpilotindia.com with the subject line "Refund Dispute — [Candidate Name]". CPI will respond within 10 working days.
All disputes are governed by the laws of India and are subject to the jurisdiction of the courts of Mumbai, Maharashtra.
